Reach Every Voice Terms and Conditions
Please be sure to read the below terms and conditions in their entirety before engaging our services or making a purchase.
Consultations:
Consultations are non-refundable. You must notify us at least 24 hours in advance if you need to reschedule a scheduled Consultation. Cancellations within 24 hours and no-shows are subject to the full fee for the time booked. Individuals who are more than 5 minutes late for a 30 minute consultation or 10 minutes late for a 60 minute consultation will be charged as a no-show.
Online Courses:
Registration for REV Online Courses, both live and recorded, grants access to one individual and their Communication Partner. Course Access may not be shared with other individuals. If you are found in violation of this policy, you will be removed from the course and no refunds will be given.
Online course refunds will be considered up to one week before the course begins. A 8% processing fee will be subtracted from the refund amount. Refunds will be considered at 50% during the week leading up to a course start date. After a course begins, no refunds will be given. By purchasing this course, you agree to our refund policy.
Accessible Academics & Phonics for Nonspeakers:
Registration for Accessible Academics, Phonics for Nonspeakers and all other professional development courses grants access to one individual. Course Access may not be shared with other individuals. If you are found in violation of this policy, you will be removed from the course and no refunds will be given.
Online course refunds will be considered up to one week after the date of purchase, as long as no course materials have been accessed. An 8% processing fee will be subtracted from the refund amount. Once course materials have been accessed, no refunds will be given. By purchasing this course, you agree to our refund policy.
In person Programs:
Payment for Co-Op may be required in full at the time of booking. If a monthly payment option is offered for Co-Op, a one-month payment will be required upon registration to reserve a student's spot. Payment for Summer Institute may be divided into two payments. The first payment is made at the time of booking and the second payment is due no later than 30 days before the session begins. We do not offer registration for partial sessions.
Refunds for Institute and Co-Op programs will be considered on a case by case basis up until 30 days before the session begins, and are contingent on Reach Every Voice being able to fill the space with another student. As with our online courses, refunds are subject to a 5% processing fee.

In-person Teaching Services:

Updated Cancellation Policy (Effective September 1, 2025)

Cancellations with more than 24 hours’ notice: You can choose to switch to a phone consultation, a virtual session, or schedule a makeup within 6 days (if available). If these options aren’t used, you’ll be charged 60% of the session fee to hold your dedicated spot.

Cancellations with less than 24 hours’ notice: The full session fee will apply. You can still switch to virtual, schedule a makeup within 6 days (if available), or use the time for a parent/caregiver consultation.

One Planned Absence: Every family may take one planned absence each calendar year with at least 14 days’ advance notice at no charge.

Consistency Requirement: If more than 10% of sessions are cancelled within a three-month window, your reserved spot may be offered to another family, and you will be moved to our cancellation list for periodic openings.

When Illness Happens
We know kids get sick — and keeping everyone healthy is essential. Please don’t bring your learner in if they have symptoms like fever, cough, vomiting, or unusual fatigue. Switching to virtual is the best way to keep learning on track without risking others’ health. If a student comes to a session too ill to participate, we may need to end the session, and the full session fee will still apply. Virtual sessions help avoid this and keep everyone safe.

Waiting Room Policy
When your child is working with our staff in our office, we require someone (parent, caregiver) to be in our waiting room. If agreed on by the teacher, parents / caregivers may step out and be no more than a 5 minute car ride away and reachable by phone at all times.
Administrative Support
Starting September 1 2025, customized paperwork (special billing documents, forms for funding, or letters for agencies) will include a $15 administrative fee per request. This small fee helps cover the staff time needed for these detailed requests so we can continue offering this help when families need it.

Communication with our Team:

If you have questions about administrative issues, including billing questions, please email our main account at info@reacheveryvoice.org. We will address all emails within 1-2 business days.

If you have questions specific to your child / their sessions, please email your teachers directly. In order to respect our staff's work / life balance, we ask that you limit communication via text messages to situations where communication within an hour of a session is crucial (e.g., you're running late / last minute cancellation).
